Managing Team Seats and Account Access in Latitude

This article explains how seats and account access work, how to add and remove team members, and how to manage access safely.

Team management allows organizations and agencies to collaborate in one Latitude workspace without sharing login credentials.

On eligible plans, workspace administrators can invite team members, assign user seats, and control which connected LinkedIn accounts each person can access.

Understand Seats and Account Connections

Latitude user seats and LinkedIn account connections are licensed separately and serve different purposes.

Latitude User Seats

A user seat gives one person their own Latitude login.

Each team member should have a separate seat so they can access the workspace using their own email address and credentials.

Depending on their permissions, a team member may be able to:

  • Create and edit content

  • Schedule or publish posts

  • Review content created by others

  • View analytics

  • Manage connected accounts

  • Invite or remove other team members

  • Update workspace settings

The exact actions available to each person depend on their workspace role and assigned account access.

LinkedIn Account Connections

A LinkedIn account connection represents a LinkedIn profile or Company Page that can be managed through Latitude.

Adding a user seat does not add another LinkedIn account connection. Connecting another LinkedIn account also does not create a seat for another person.

For example, a workspace may have:

  • Three team members using three Latitude seats

  • Five connected LinkedIn accounts

  • Different account assignments for each team member

The number of seats and account connections available depends on your Latitude plan.

Team Management Availability

Multi-seat team management is available only on certain Latitude licensing tiers.

Your plan determines:

  • How many people can join the workspace

  • How many LinkedIn accounts can be connected

  • Whether account-level access controls are available

  • Which team and agency management features are included

Add Seats or Upgrade Your Plan

If your workspace does not include team management, or all available seats are already assigned, contact Latitude Sales.

Latitude Sales can help you:

  • Increase your LinkedIn account capacity

  • Select the right configuration for your team or agency

Having an available LinkedIn account connection does not necessarily mean you have an available user seat. These limits should be reviewed separately.

Invite a Team Member

Workspace owners and administrators can invite additional users when their plan includes an available seat.

To invite someone:

  1. Open Team Management in Latitude.

  2. Select Invite Team Member.

  3. Enter the person’s email address.

  4. Choose the appropriate workspace role.

  5. Select the LinkedIn accounts they should be able to access.

  6. Send the invitation.

The invited person must accept the invitation and create or sign in to their own Latitude account.

Team members should not share Latitude passwords or LinkedIn login credentials.

Choose the Correct Role

Assign each person the lowest level of access they need to complete their work.

Workspace roles may determine whether someone can:

  • Manage billing or workspace settings

  • Invite and remove team members

  • Add or disconnect LinkedIn accounts

  • Assign account access

  • Create, edit, schedule, or publish content

  • View analytics

Reserve administrative access for people who are responsible for managing the workspace.

Resend or Cancel an Invitation

If an invitation has not been accepted, open Team Management and locate the pending user.

From there, you can resend the invitation or cancel it if the person no longer needs access.

Before resending an invitation, confirm that it was sent to the correct email address.

Assign LinkedIn Account Access

Account access determines which connected LinkedIn profiles and Company Pages a team member can work with.

A person does not necessarily gain access to every account in the workspace simply because they have a Latitude seat.

Give a Team Member Access

To assign account access:

  1. Open Team Management.

  2. Select the team member.

  3. Open their account access settings.

  4. Select the LinkedIn profiles and Company Pages they should manage.

  5. Save the changes.

The team member should then see the assigned accounts in their account selector.

Limit Access by Responsibility

Assign access based on the person’s actual responsibilities.

For example:

  • A content writer may need access to create drafts but not manage workspace settings.

  • A client manager may need access only to the accounts for their assigned clients.

  • An executive may need access only to their own LinkedIn profile.

  • A workspace administrator may need access to all connected accounts.

Limiting access reduces the risk of someone editing or publishing content to the wrong account.

Update Account Assignments

Review account assignments whenever responsibilities change.

You can add or remove access without deleting the person from the workspace.

Changes may be appropriate when:

  • A team member begins managing a new account

  • A client is reassigned

  • Someone changes roles

  • An account should be restricted to administrators

  • A project or engagement ends

Content Review and Publishing Access

Teams should establish clear rules for who can create, approve, schedule, and publish content.

Depending on your Latitude plan and workspace configuration, some users may be able to prepare content while another person reviews or publishes it.

Establish an Approval Process

Before adding multiple collaborators, decide:

  • Who creates drafts

  • Who reviews content

  • Who can make final edits

  • Who can schedule or publish

  • Which accounts require approval before publishing

Latitude access controls help limit who can work with each account, but your team should also establish an internal review process.

Account owners and workspace administrators should regularly confirm that publishing access is assigned only to the appropriate people.

Remove a Team Member

When someone leaves your organization or no longer needs access, remove them promptly.

To remove a team member:

  1. Open Team Management.

  2. Select the person.

  3. Remove their access to connected accounts.

  4. Remove them from the workspace or release their seat.

  5. Confirm that they no longer appear as an active team member.

Removing a team member does not automatically disconnect the LinkedIn accounts they previously worked with.

Their content may remain in the workspace so the rest of the team can continue managing it.

Reassign Work Before Removing Access

Before removing someone, review:

  • Drafts they created

  • Posts they scheduled

  • Accounts assigned to them

  • Client or executive content they were managing

  • Any pending reviews or approvals

Reassign anything that still requires attention.

Manage Teams Safely

Use the following practices to protect your workspace and connected LinkedIn accounts:

  • Give every person their own Latitude seat.

  • Do not share Latitude or LinkedIn passwords.

  • Limit account access to what each person needs.

  • Reserve administrative permissions for trusted users.

  • Review active team members regularly.

  • Remove access promptly when someone leaves.

  • Confirm the selected LinkedIn account before publishing.

  • Review account assignments when clients or responsibilities change.

Fix Common Team Access Problems

You Cannot Invite Another User

If the invitation option is unavailable, your workspace may not support multi-seat access or may have reached its seat limit.

Confirm that:

  • Your plan includes team management

  • An unused seat is available

  • You have permission to invite users

  • The person is not already a member of the workspace

Contact Latitude Sales if you need to upgrade or purchase additional seats.

A Team Member Cannot See an Account

Confirm that:

  • The account is connected to the correct workspace

  • The team member accepted their invitation

  • They are signing in with the invited email address

  • They have an active seat

  • The LinkedIn account has been assigned to them

  • Their workspace role allows the required action

An administrator may need to update their account assignment in Team Management.

A Team Member Can See the Account but Cannot Complete an Action

The person may have access to the account but lack the workspace permissions required to perform that action.

Review their role and confirm whether they should be able to:

  • Edit content

  • Schedule posts

  • Publish posts

  • View analytics

  • Connect or disconnect accounts

  • Manage other users

Update their role only when the additional permissions are appropriate.

An Invitation Was Sent to the Wrong Email Address

Cancel the pending invitation and send a new invitation to the correct address.

The person should sign in to Latitude using the same email address that received the invitation.

All Seats Are in Use

Remove an inactive team member to release their seat, or contact Latitude Sales to add more seats.

Removing a seat does not increase your number of LinkedIn account connections. Account capacity and user seats are managed separately.

Sales and Support

Contact Latitude Sales when you need:

  • Additional team seats

  • Multi-seat team management

  • More LinkedIn account connections

  • An upgrade to an eligible plan

  • Help selecting a team or agency license

Contact Latitude Support when your plan already includes the required seats and access, but a user cannot join the workspace, view an assigned account, or use an expected feature.

When contacting Support, include:

  • Your workspace name

  • The affected user’s email address

  • The LinkedIn account they need to access

  • The action they are trying to complete

  • A screenshot of any error

  • Whether the invitation has been accepted
